The eight-phase journey

Enquiry to Live Operations in Eight Phases.

The journey from first contact to live operations breaks into eight phases. Each one has an owner, a duration, and a defined output. You see fixed fees and dates in writing before any phase begins.

01

Enquiry

1 business day

You submit a brief enquiry via the website form, email (info@thetaxlead.ae) or phone (+971 56 755 6954). WhatsApp also fine. We acknowledge within one business day with a proposed Discovery Call slot.

YouA sentence or two on your situation.
UsAcknowledgment + Discovery slot.
03

Written Scope & Fixed-Fee Quote

2 business days

Within two business days of the Discovery Call, we send a written scope document and a fixed-fee quote. The scope names every deliverable, who does what, and what’s explicitly excluded. The fee shape matches your audience — monthly package, project fee, or ongoing retainer.

YouReview the scope and quote.
UsWritten document, numbered.
04

Engagement Letter

Same day signing

You sign the engagement letter electronically (Signwell, DocuSign, or similar). It carries the scope, the fee, the deliverables, the deadlines, the limits of our engagement, and the 30-day notice policy. Deposit or first instalment invoiced on signing.

Youe-Signature + deposit.
UsReceipt + onboarding start.
05

Kick-off & Document Request

Week 1

45-minute kick-off call to introduce the team you’ll be working with (Chartered Tax Adviser lead + delivery team). We send a structured document request list via the client portal — typically IDs, prior-year accounts, bank statements, VAT returns, licence documents, as applicable.

For a review engagement: fact-gathering, analysis, written report. Weekly progress tracker shared with you throughout.

YouAvailable for 2-3 touchpoints.

Review & Scale

Quarterly / Annual

Quarterly review of risks, open items, upcoming filings. Annual tax position summary covering CT, VAT, QFZP, TP, and anything else material. Scope review every 12 months — expand (new entity, new service), simplify (close an old entity), or renew as-is. All changes agreed in writing before implementation.

What we commit to

What You Get, in Writing.

The engagement letter commits us to specific standards. These aren’t marketing promises — they’re contractual obligations on every engagement, backed by our professional insurance and ACCA regulation.

Our commitments

  • Fixed fees, agreed in writingEvery fee named in your engagement letter before work starts. No surprise hourly billing. Scope changes quoted in advance.
  • Named lead adviserYou know who’s running your engagement, and that person is a Chartered Tax Adviser-led contact — not an account manager routing you to juniors.
  • 30-day notice either wayNo lock-ins. Leave with 30 days’ written notice at any time. We only conclude for non-fit or conflict.
  • 24-hour working responseWhatsApp and email responded within 24 working hours. Standing monthly call for substantive discussion.
  • Proactive error reportingIf we make a mistake, we tell you proactively, fix it at our cost, and document the correction.
  • PI insuranceFull professional indemnity cover. ACCA-regulated. No independence conflicts (we don’t audit).

What we need from you

  • Timely document provisionDocument request list completed within the agreed window. Delays here delay the whole engagement.
  • Standing call attendanceMonthly standing call attendance (or an authorised delegate). This is the engagement’s single most important rhythm.
  • Honest contextShare material facts even if they’re inconvenient — prior HMRC/FTA correspondence, open disputes, side letters, informal arrangements. All covered by privilege.
  • Decision ownershipAdvisory options presented; the decision is yours. We won’t make strategic calls on your behalf without written sign-off.
  • Payment on termsInvoices payable within agreed terms (typically 14 or 30 days). We don’t carry debtors longer than that.
  • Flag changes earlyMaterial changes to your business, structure, residence or scope — tell us as soon as you can. Re-planning upstream saves money downstream.

Fee philosophy

Fixed Fees. Scope Changes Quoted First.

Our fee discipline is one of the main reasons clients stay. Fixed fees in your preferred currency (AED / GBP / EUR / INR), named in the engagement letter, agreed before any work starts. Scope changes are quoted and signed off before implementation, not sprung on you in the next month’s invoice.

Hourly billing is available if you specifically request it — but almost nobody does. Fixed fees mean you know the cost; we know the scope; both sides focus on outcomes, not timesheets.

Common questions

The Process, Answered.

How long does it take to onboard with The Tax Lead?
Depends on scope. For an existing UAE business with records already in Xero or QBO, 2 weeks from engagement letter to full operational handover. For a new company we’re incorporating from scratch, 4-8 weeks from engagement letter to live trading (licence, visa, bank, CT/VAT registration, bookkeeping live). For an entry-roadmap-only scope, 3-4 weeks from engagement letter to delivery of the written report. Everything is agreed in writing up front.
How are your fees structured?
Fixed fees on everything that fits a package shape. One-off engagements (residence review, entry roadmap, M&A DD) are quoted as a fixed project fee. Annual compliance (CT, VAT, TP) is quoted as a fixed annual fee. Ongoing retainers (OHT, UK-UAE ongoing, SME monthly package) are quoted as a fixed monthly fee. We don’t do open-ended hourly billing unless you specifically ask for it. All fees agreed in writing before work begins. See our audience pages for indicative starting fees: SMEs, UK expats, UK groups.
What’s your notice period on ongoing engagements?
30 days’ notice either way on all monthly retainers. We don’t use long-term lock-ins. You can leave with 30 days’ written notice; we can conclude with 30 days’ written notice (in practice, we only conclude if we’re not the right fit or there’s a conflict). Fixed annual engagements run for the agreed tax year and renew explicitly.
What communication channels do you use?
Primary: client portal (Dext, Xero HQ, or custom) for document exchange, invoicing, deliverables. WhatsApp for quick questions and real-time coordination (24h working response). Email for formal correspondence. Teams/Zoom/Google Meet for calls (monthly standing + ad-hoc). We don’t use the client portal for the sake of it — just where it’s better than email.
How do you handle scope creep?
If something significant comes up outside the agreed scope, we stop and quote it before starting the work — usually within 24-48 hours. You see the fixed fee in writing before we begin. No surprise invoices at month-end. For minor items that fit within a reasonable interpretation of scope (an extra VAT query, one additional advisory question), we handle them inside the existing retainer — the retainer anticipates this volume.
What happens if things go wrong?
First, we tell you — proactively, as soon as we spot an issue. Second, we fix it at our cost if it was our error (missed FTA deadline, incorrect VAT return, etc.). Third, if we need to escalate (HMRC enquiry, FTA audit, dispute), we handle the escalation and quote any additional work before starting it. Our PI insurance covers material errors. For disputes we have a formal complaints process; see our Complaints policy.
Who actually does the work — a senior adviser or juniors?
Every engagement has a Chartered Tax Adviser lead who owns the technical position and senior client contact. Routine delivery work (bookkeeping, VAT returns, data entry) is done by trained team members under the lead’s review. Advisory work, technical positions, HMRC/FTA correspondence, and anything novel goes through the lead directly. The lead is the person who answers your WhatsApp.
Do you offer trial engagements or pilots?
Yes — for ongoing retainers above AED 5,000/mo or GBP equivalents, we offer a 90-day pilot period where you can switch off with 15 days’ notice (vs the standard 30). For one-off project engagements, the project itself is the pilot — satisfaction with a residence review or entry roadmap typically determines whether we go on to the full setup or retainer.
